Welcome to NewGen Psychiatry, PLLC. By accessing our website, scheduling appointments, or utilizing our services, you agree to comply with and be bound by the following Terms and Conditions. Please read them carefully.
1. Telehealth Services & State Geographic Requirements
Exclusively Telehealth: All psychiatric evaluations, medication management, and therapy visits are conducted via live, interactive, HIPAA-compliant audio-video technology.
Physical Location Requirement: Clinicians are licensed in Texas, New Mexico, and Washington. You must be physically located in one of these three states at the time of every appointment and verify your physical address at the start of each visit.
Technology Requirements: You are responsible for providing a device with a working camera, microphone, reliable internet, and a secure, private space. Sessions are strictly not recorded without prior written consent.
2. Medical & Emergency Disclaimer
NOT FOR EMERGENCIES: NewGen Psychiatry does not provide emergency medical or mental health services via telehealth. If you are experiencing a life-threatening crisis, severe distress, or thoughts of self-harm, immediately call or text 988, call 911, or go to the nearest emergency room.
3. Financial Policy & Payment Terms
Insurance Coverage: As a courtesy, we bill in-network insurance plans (including Aetna, Cigna, Regence, UMR, GEHA, Optum, Oscar, Oxford, UnitedHealthcare, and Evernorth). You are responsible for knowing your plan benefits and paying copays, coinsurance, or deductibles at the time of service. You remain responsible for balances if claims are denied.
Card on File Authorization: A secure, PCI-compliant credit or debit card must be kept on file to cover copays, self-pay session fees, and applicable late cancellation fees.
Good Faith Estimate: Self-pay clients receive a Good Faith Estimate of expected charges prior to scheduled care under the federal No Surprises Act.
Payment Balances: Outstanding balances are due within 30 days of statement. Accounts past due by 90 days may be referred to collections.
4. Cancellation & Missed Appointment Policy
24-Hour Notice Required: You must provide at least 24 hours’ notice to cancel or reschedule an appointment.
Late Cancellation / No-Show Fees: Missed visits or cancellations made with less than 24 hours’ notice are subject to a fee that cannot be billed to insurance.
5. Prescription & Controlled Substance Rules
Prescribing Safety: Prescriptions and refill requests are primarily managed during scheduled appointments. Refill requests outside of visits require at least 5 business days’ notice.
Controlled Substance Agreement: Controlled substance prescribing (such as ADHD stimulants or sedatives) requires adherence to strict guidelines: using one designated pharmacy, submitting to Prescription Monitoring Program (PMP/PDMP) checks, completing random drug screens, and complying with any state or federal in-person evaluation requirements. Violation may result in medication discontinuation or transfer of care.
6. Minor & Adolescent Care
Appointments for minors (under 18) require parent/guardian consent and custody verification. A parent or legal guardian must be reachable by phone during every appointment and join sessions upon clinician request.
7. Limitation of Liability & Contact Information
NewGen Psychiatry, PLLC is not liable for technical failures during telehealth visits or security breaches caused by unsecured user devices or public networks.
